1.2 How Helpie works — the Admin and User model
What the admin controls in the console and what end users do in the app.
Written By Ravi Kiran
Helpie Event has two roles: the Account Admin and end users. Understanding who does what will help you get the most out of the platform.
The Account Admin (you)
You work in the admin console — a web-based dashboard at app.helpie.io. From here, you:
• Configure qualification questions (data modules) for each event
• Create email and WhatsApp follow-up templates
• Set up assignees and follow-up actions
• Add and manage users (your booth team)
• Monitor interactions in real time during the event
• View reports and export data to Excel after the event
You control what your team sees in the app. The questions they answer, the templates they use, and the events they can access — all configured by you.
End Users (your booth team)
Your booth team uses the Helpie Event mobile app on their own Android or iOS phones. They:
• Scan business cards or visitor badge QR codes to capture contact details
• Qualify each visitor by tapping through the questions you configured
• Add notes (text, photo, or voice) to any interaction
• Send personalised follow-up emails or WhatsApp messages on the spot
• Star high-priority leads for quick identification
Each user sees only their own interactions in the app. You see everyone’s data in the console.
How data flows
Your team captures data in the app. The app syncs automatically to the server. You see every interaction in the console — in real time during the event, and anytime afterward during your access period.
There’s no manual upload or data transfer step. What your team captures is available in your console within minutes.
What you don’t need to do
You don’t create events — Helpie sets those up for you. Your job starts with configuring the event: setting up your qualification questions, templates, and users.
Next steps
