1.6 Understanding your subscription and access periods

How event-based pricing works, what's included, and what happens after the event ends.

One event = one subscription

Each subscription covers one event, regardless of duration. A 3-day exhibition counts as one event. So does a 1-day conference or a multi-day roadshow.

What’s included

Every subscription includes:

Unlimited users — add your entire booth team at no extra cost

Unlimited interactions — no cap on leads captured

Full app functionality — scanning, qualification, notes, follow-ups

Admin console access — dashboard, reports, data export

Email and phone support

The post-event access period

After your event ends, you and your team retain access to Helpie for a defined period (typically 7 days). During this time:

Users can still view interactions, add notes, send follow-ups, and capture new interactions.

You can export data, view reports, and edit interaction details from the console.

After the access period ends, the console becomes read-only and event-specific data modules are no longer visible in the app.

Export your data before the access period ends. Once the period expires, contact us if you need an extension or a data export.

Trial accounts

Trial accounts give you full access to explore Helpie with a demo event. Interactions are unlimited during the trial. Data export is limited to a preview so you can see the output format.

Multi-event bundles

If your company attends 3 or more events per year, ask us about bundled pricing. You save 25% and the events don’t expire.
