2.3 Setting up message templates (WhatsApp & Email)

Create and customise the follow-up templates your booth team uses to message leads.

Your booth team can send personalised follow-up emails and WhatsApp messages right from the app. The templates they use are configured by you in the console.

Default templates

Helpie comes with a default Thank You email template and a default Thank You WhatsApp template. These are ready to use out of the box.

You can use them as-is, customise them, or create entirely new templates.

Creating or editing a template

1. Go to Configure → Message Templates in the console.

2. Click + Create Message Template (or click the edit icon on an existing one).

3. Choose the channel: Email or WhatsApp.

4. Write your message. Use variables to personalise automatically.

5. Enable the template using the toggle so it’s visible to your team in the app.

Available variables

Variables pull data from each interaction and insert it into the message automatically:

  • {{Account Name}} for your Company’s Name in Helpie

  • {{Lead Name}} for the Person captured at the booth

  • {{Event Name}} for Event Name

  • {{Follow-up Action}} for the next step noted

  • {{User’s Name}} for your team member who captured this lead

  • {{User's Mobile Number}} for the team member’s Mobile Number

Example: “Hi {{Lead Name}}, it was great meeting you at {{Event Name}}. I’d love to continue our conversation about...”

Enabling and disabling templates

Each template has a toggle in the console. Only enabled templates are visible to your team in the app.

You can create as many templates as you like, but only two can be active at any time — one email template and one WhatsApp template. This is by design. Your booth team sees just one option per channel, keeping things simple and fast at the booth. No decision fatigue.

To switch templates, disable the current one and enable the replacement using the toggle.

Pro tip: Keep templates short and personal. A 2–3 sentence thank-you message sent within minutes of meeting someone is far more effective than a long email sent days later.
