2.0 Returning after a while? A quick refresher (returning admin)

Used Helpie before? Your account, users, and content are still here. Three quick steps to get ready for your next event.

If you’ve used Helpie before, your account, users, and app content are all still there. You don’t need to start from scratch. Three steps: verify your event, review your configuration, and enable your users.

Step 1: Verify your event

Log in to the console at app.helpie.io. Go to Events in the sidebar.

Confirm that your upcoming event is listed with the correct name and dates. If it’s missing or shows incorrect details, contact us at prioritysupport@helpie.io.

Step 2: Review and link your app content

Your Data Modules, message templates, assignees, and follow-up actions from previous events are all still in the console. You just need to review them and link the relevant ones to your new event.

Data Modules

Go to Configure → Data Modules. You’ll see all your existing modules in a list view.

Use the filters to find what you need:

Filter by a past event to see which modules you used last time

Filter by status (Active or Disabled) to find modules you may have turned off

Filter by Quick Note enabled or Mandatory status

If a module is disabled and you want to use it again, enable it.

To link modules to your new event: Select the modules you want by clicking the checkbox at the beginning of each row. Or select all by clicking the checkbox next to the column title “Data Module Title.”

Once you’ve selected your modules, a “Link to Event(s)” button becomes active (dark green). Click it, select your event from the drawer that opens on the right, and click Link.

After linking, you can edit any module to make changes for this event. You can also:

Create new modules as needed

Upload modules in bulk via Excel

Reorder modules to control the sequence in the app

Pro tip: Be careful not to create duplicates. Check your existing modules before creating new ones.

Assignees and Follow-Up Actions

Same process as Data Modules. Review your existing assignees and follow-up actions, link them to the new event, and add any new ones. See article 2.5 for details.

Message Templates

Templates don’t need to be linked to a specific event — only two templates (Email and WhatsApp) are active at any time. Review and edit them if needed for this event. See article 2.3 for details.

Data and Privacy Declaration

Same as templates — review and edit the consent declaration text if needed. No event linking required. See article 2.6 for details.

Step 3: Enable and link your users

Your existing users are still in the system. Some may be disabled from a previous event.

Find your disabled users

Go to Team in the sidebar. The default view shows Active users only (you’ll see a green “User Status: Active” filter button).

To see all users, click the “x” on that filter button. You’ll now see both active and disabled users.

Enable disabled users

You can enable users in two ways:

One at a time — Click the toggle switch on the far right of the user’s row.

In bulk — Select the relevant disabled users using the checkboxes, then click the “Enable Users” button.

Link users to the new event

Once users are enabled, link them to the event:

1. Select the users you want to link using the checkboxes.

2. Click “Link to Event(s).”

3. Select your event from the drawer.

4. Click Link.

Edit user details

Need to update a user’s name, email, or phone number? Click the Edit button on their row.

Add new users

New team members can be added:

One at a time — Click Add User, enter their details, and select the event.

In bulk — Use the Excel upload feature. You’ll be prompted to select the event during upload.

New users automatically receive an SMS and email with the app download link and login instructions. For existing users, let them know they should open the app and tap Sync Now to see the new event.

Optional: Review your settings

Under Settings in the sidebar, check these toggles:

Hide past data visibility — When on, users only see data from the current event in the app.

Lock email functionality — When on, users can’t send follow-up emails from the app.

Lock WhatsApp functionality — When on, users can’t send WhatsApp messages from the app.

Adjust these based on your preferences for this event.

Finally: Test it

Add yourself as a user. Open the app on your phone. Tap + to add a new interaction. Verify your Data Modules appear correctly. Check that your templates look right. Don’t save — just confirm everything is in order.
