4.6 Sending follow-up emails and WhatsApp messages

Current follow-up capabilities, workarounds for bulk messaging, and what’s coming next.

Following up quickly after an event is where the real value of captured data shows up. Here’s what Helpie supports today and what’s on the roadmap.

What’s available today

Your booth team can send follow-up messages from the app, one interaction at a time:

Tap the email icon on any interaction card → the device’s native email app opens with your template pre-filled

Tap the WhatsApp icon → the native WhatsApp app opens with the template message ready to send

Messages come from the individual user’s own email account and WhatsApp number. There is no centralised company email or WhatsApp number.

Can I send in bulk?

Not directly from Helpie — not yet. Helpie currently supports one-at-a-time follow-up from the app.

This is intentional for the at-the-event use case: sending a personalised thank-you message within minutes of meeting someone is far more effective than a bulk email days later.

Workaround for bulk follow-up

For bulk post-event follow-up, use the export + external tool approach:

1. Export your interactions to Excel (see article 4.1).

2. Import the Excel file into your email marketing tool (Mailchimp, Zoho Campaigns, HubSpot, etc.) or CRM.

3. Send your bulk follow-up campaign from there.

This gives you full control over segmentation, templates, and scheduling.

Can the admin send from the console?

Not currently. Follow-up messaging is app-side only. Console-based mail merge (send personalised emails from the console using your Outlook or Gmail account) is on our roadmap.

Can I stop users from sending messages?

Yes. In the console under Settings, you can:

Lock email functionality — Users won’t be able to send follow-up emails from the app.

Lock WhatsApp functionality — Users won’t be able to send WhatsApp messages from the app.

Use these toggles if you prefer all follow-up communications to go through a central team rather than individual booth staff.
