2.9 How offline mode and data sync work

What works without internet, what needs connectivity, and how your data stays safe.

Written By Ravi Kiran

Helpie Event is designed for exhibition venues where WiFi is unreliable or unavailable. Here’s what works offline and what doesn’t.

Works fully offline

Scanning business cards

Entering interaction details manually

Tapping through Data Modules (qualification)

Adding text notes, photo notes, and voice notes

Starring interactions

Your team can capture data all day without any internet connection.

Needs internet

Badge scanning — fetches visitor details (email, phone) from the organiser’s server

Sending follow-up emails and WhatsApp messages

Syncing data to the server

First-time login

If internet is poor during a badge scan, the first three fields (company, name, job title) appear immediately from the QR code data. Helpie continues working in the background to fetch email and phone number when connectivity improves.

How sync works

The app syncs data to the server automatically, approximately every 5 minutes. You don’t need to do anything — it happens in the background as long as the app is open and there’s some connectivity.

For extra assurance, you can manually trigger a sync:

Tap the Sync Now button in the app’s menu.

Pro tip: Good practice: tap Sync Now at the end of each exhibition day to make sure everything is uploaded.

What happens if the phone dies?

All data captured in the app is saved locally on the device first. If the phone battery dies or the app crashes, your data isn’t lost.

When the phone restarts and the user logs back in, the app syncs all locally stored data to the server automatically.
